Business Development Coordinator
Position Summary
The Business Development Coordinator (BDC) supports the Business Development Team by managing the research, coordination, systems, and follow-through that allow Business Development Managers (BDMs) to spend more time building relationships, developing opportunities, and closing new business. The BDC serves as a key operational partner to the sales team, helping ensure prospect information, CRM activity, opportunities, proposals, and internal coordination are accurate, organized, and moving forward.
Key Responsibilities
Prospect Research & Sales Intelligence
- Research target companies, properties, decision-makers, and market opportunities
- Develop and maintain prospect lists by territory, vertical, or strategic initiative
- Identify relevant RFPs, public bids, management changes, ownership changes, and other potential opportunities
- Provide organized, actionable prospect information to BDMs
CRM & Sales Operations
- Maintain accurate prospect, account, contact, and opportunity information
- Support effective use of HubSpot, Aspire, and other sales tools
- Track opportunity stages, activities, follow-up, and pipeline information
- Maintain data quality, completeness, and consistency
Opportunity & Proposal Coordination
- Coordinate the administrative and operational components of active sales opportunities
- Organize required documentation, estimating requests, internal reviews, and deadlines
- Assemble and coordinate proposal materials
- Track status, next steps, and required follow-up
- Help ensure opportunities and commitments do not fall through the cracks
Business Development Support
- Prepare meeting materials, customer information, presentations, and account research
- Coordinate scheduling, follow-up, territory information, and sales documentation
- Track referrals, introductions, and relationship information
- Proactively identify ways to reduce administrative workload for BDMs
Marketing & Event Coordination
- Serve as a liaison between Business Development and the centralized Marketing Team
- Coordinate requests for sales collateral, presentations, campaigns, events, and customer materials
- Provide Marketing with prospect lists, customer information, photos, testimonials, and other required inputs
- Coordinate registrations, attendee information, and BDM follow-up for events and campaigns
Marketing owns strategy, branding, content development, and campaign execution. The BDC helps connect those resources to the needs of the Business Development Team.

- Professional written and verbal communication skills
- Ability to manage multiple priorities and deadlines
- Comfort working with CRM systems and technology
- Proficiency with Microsoft Office, including Excel
- Ability to work independently and take ownership of responsibilities
Experience in sales support, business development, CRM administration, project coordination, commercial services, property management, or a related field is preferred. HubSpot and Aspire experience are helpful but not required.
